To coordinate a transaction we collect information you and your brokerage provide, such as agent and client names, contact details, property and escrow information, executed contracts, disclosures, and commission instructions.
Information is used solely to perform transaction coordination services: preparing and reviewing documents, communicating with escrow, title, lenders, and brokerages, preparing commission disbursement authorizations, and closing out files.
We share information only with parties required to complete the transaction — your brokerage, escrow and title companies, lenders, and the transaction platform you designate. We do not sell or rent personal information.
Files are maintained in your designated transaction management platform and in secured Diamond TC systems. Access is limited to team members working your file.
Transaction records are retained as long as required by your brokerage policy and applicable California recordkeeping requirements, then deleted or returned.
You may request a copy of the information we hold about a file, ask that it be corrected, or request deletion where retention is not otherwise required.
